Terms and Conditions

Please read these terms before creating an account, connecting WhatsApp, Instagram, Facebook, or using AI automation for customer communication.
1. Agreement
These Terms and Conditions govern access to Hello Bee, including the dashboard, AI agents, web widgets, CRM tools, knowledge base, lead workflows, appointment workflows, WhatsApp Business API workflows, Instagram messaging workflows, Facebook Messenger workflows, exports, reports, integrations, and support services.
By creating an account, clicking the agreement checkbox, connecting a channel, uploading data, sending messages, or using the software, you confirm that you have read these terms and agree to follow them.
If you create an account for a company, agency, client, shop, brand, or other organization, you confirm that you are authorized to accept these terms on its behalf.
2. Service Summary
Hello Bee provides software that helps businesses manage AI-assisted customer conversations, sales follow-up, support responses, lead capture, knowledge base answers, booking workflows, CRM records, and dashboard reporting.
The software does not replace your own business judgment, compliance review, customer service responsibility, or legal obligations.
AI replies are generated from your configuration, prompts, uploaded knowledge, connected channels, and third-party model providers. You are responsible for reviewing setup, testing responses, and monitoring live usage.
3. Account Information
You must provide accurate signup information, including name, email, phone number, company information, and plan selection.
You are responsible for keeping login credentials secure and for all activity under your account, including activity by team members and connected third-party channels.
You must notify us if you believe your account, connected channel, token, API key, or password has been compromised.
4. Plans, Quotas, and Usage Limits
Your access may be limited by the plan assigned to your account, including message limits, inquiry limits, token limits, agent access, channel access, team member limits, CRM access, and validity period.
Free trials, free plans, promotional plans, custom plans, and paid plans may have different limits and expiry dates.
If your quota expires or is exhausted, some or all AI agents may pause until you renew, upgrade, buy more quota, or receive a manual adjustment from an authorized administrator.
Plan features can change over time. We will try to avoid disrupting active paid access, but we may update packages, limits, pricing, or feature availability where needed for security, cost control, compliance, or product changes.
5. WhatsApp Business API Charges
WhatsApp Business API and WhatsApp Cloud API usage is controlled by Meta. Meta may charge for outbound business messages, template messages, marketing messages, utility messages, authentication messages, service conversations, or other message categories according to Meta's current pricing rules.
Meta billing is separate from Hello Bee subscription fees unless a written package explicitly says otherwise.
If your WhatsApp Business Account, Meta Business Manager, payment method, phone number, or Cloud API setup is billed directly by Meta, those charges are your responsibility.
In many WhatsApp use cases, the first business-initiated outbound message or approved template message can create a billable event under Meta's pricing model. You must review Meta pricing before sending outreach, campaigns, broadcasts, templates, or automated follow-ups.
Hello Bee may trigger WhatsApp sends only according to your configuration, connected credentials, automation settings, user actions, or agent workflows. You are responsible for controlling those settings and understanding the third-party cost impact.
6. Meta, Instagram, and Facebook Platform Rules
WhatsApp, Instagram, Facebook, Messenger, Meta Business Suite, Graph API, Cloud API, and related platform services are third-party services controlled by Meta.
You must comply with Meta's platform terms, messaging rules, commerce rules, template rules, opt-in requirements, data use rules, account quality rules, rate limits, and any restrictions Meta applies to your business account.
Meta may reject templates, block messages, reduce limits, require verification, disable accounts, change pricing, change API behavior, or revoke permissions. Hello Bee is not responsible for Meta decisions or third-party outages.
You are responsible for keeping Meta credentials, page access, Instagram permissions, webhooks, phone numbers, payment methods, business verification, and account quality in good standing.
7. Consent, Outreach, and Anti-Spam Rules
You may only contact customers, leads, or prospects where you have a lawful basis, consent, opt-in, existing relationship, or other permission required by applicable law and platform policy.
You must not use Hello Bee for spam, scraping, purchased lead abuse, harassment, phishing, impersonation, illegal promotions, deceptive offers, or messaging people who have opted out.
You are responsible for honoring unsubscribe requests, opt-out messages, blocked contacts, do-not-contact lists, and platform-specific stop rules.
For outreach workflows, you must configure messages honestly and avoid misleading customers about identity, pricing, product availability, guarantees, delivery times, refunds, medical claims, financial claims, legal claims, or regulated services.
8. AI Generated Responses
AI output can be incomplete, outdated, inaccurate, delayed, duplicated, or misunderstood by customers. You must test and supervise the agent before relying on it in live sales, support, or booking flows.
You are responsible for the prompts, negative prompts, knowledge base content, product data, pricing data, policies, files, websites, instructions, and connected sources you provide.
You must not configure the AI to give professional legal, financial, medical, safety, emergency, or regulated advice unless you have appropriate authorization and human review.
Where accuracy matters, you must review AI replies and keep a human escalation path available.
9. Human Takeover and Automation Control
Hello Bee may allow AI automation, human takeover, AI pause, AI resume, manual replies, and external inbox handling.
If a human takes over a chat, AI may stop responding until a user resumes it. If a human sends initial outreach and the customer replies, AI may respond if automation is active and the conversation has not been paused.
You are responsible for checking whether AI is active or paused before relying on automated replies.
You must monitor live conversations and correct any incorrect, unsafe, or unwanted AI behavior quickly.
10. Customer Data and Privacy
You are responsible for the personal data you upload, collect, store, process, export, or send through Hello Bee, including names, phone numbers, emails, chat history, appointments, addresses, files, and lead notes.
You must have the required notices, consents, contracts, and legal basis to process customer data through Hello Bee and connected third-party providers.
You must not upload sensitive data unless it is necessary for your lawful business use and you have appropriate permission and safeguards.
You are responsible for responding to customer privacy requests, deletion requests, access requests, correction requests, and opt-out requests where required by law.
11. Third-Party Providers
Hello Bee may rely on third-party services such as Meta, WhatsApp, Instagram, Facebook, OpenAI or other model providers, hosting providers, database providers, email providers, calendar providers, payment providers, and analytics providers.
Third-party providers may process data according to their own terms, privacy policies, security practices, rate limits, pricing, and availability.
We are not responsible for third-party downtime, policy changes, billing disputes, API changes, account restrictions, or data handling outside our control.
12. Billing and Payments
Hello Bee subscription fees, add-ons, extra quota, setup fees, customization fees, and support fees are separate from third-party charges unless clearly stated in writing.
You are responsible for paying all charges associated with your selected plan and any separately agreed services.
Non-payment, expired subscription, failed payment, chargeback, fraud risk, or unpaid invoice may lead to suspension, quota restriction, feature restriction, or account termination.
Taxes, bank fees, gateway fees, currency conversion fees, Meta charges, telecom charges, and third-party usage charges may apply separately.
13. Refunds, Cancellations, and Expiry
Refunds are not automatic unless required by applicable law or agreed in writing.
You may stop using the service at any time, but cancellation does not automatically remove unpaid third-party charges or charges already incurred through connected platforms.
When a plan expires, access may be restricted and agents may stop responding until access is renewed.
We may preserve account data for a limited period after expiry or cancellation, but we do not guarantee indefinite retention unless a written agreement says so.
14. Acceptable Use
You must not use Hello Bee for unlawful content, hate, threats, fraud, scams, malware, credential theft, spam, adult exploitation, illegal products, counterfeit goods, regulated goods without authorization, or deceptive business practices.
You must not attempt to bypass quotas, rate limits, authentication, billing controls, security controls, platform restrictions, or usage monitoring.
You must not reverse engineer, copy, resell, sublicense, overload, scrape, or interfere with the software except where expressly permitted in writing.
15. Content Ownership
You keep ownership of your business content, customer data, uploaded files, prompts, knowledge base content, and conversation data, subject to the rights needed for Hello Bee to provide the service.
You grant us permission to host, process, transmit, transform, index, summarize, and display your content only as needed to operate, secure, support, troubleshoot, and improve the service.
You confirm that you have the right to upload and use all content you provide.
16. Security
We use reasonable technical and organizational measures to protect the service, but no system is perfectly secure.
You are responsible for strong passwords, limiting admin access, removing old team members, protecting API keys, protecting Meta tokens, and avoiding credential sharing.
If you connect third-party accounts, you authorize Hello Bee to use the connected permissions to send, receive, store, and process messages according to your configuration.
17. Availability and Maintenance
We aim to keep the service available, but we do not guarantee uninterrupted access.
Downtime may occur due to maintenance, updates, hosting incidents, third-party API issues, Meta outages, model provider issues, internet issues, database issues, security incidents, or force majeure events.
We may update, pause, remove, or modify features where needed for reliability, compliance, security, cost control, or product improvement.
18. Disclaimers
The service is provided on an as-is and as-available basis to the fullest extent permitted by law.
We do not guarantee sales, leads, conversions, revenue, deliverability, account approval, template approval, message delivery, search ranking, appointment attendance, customer satisfaction, or AI accuracy.
You are responsible for final business decisions and for verifying all critical information before acting on it.
19. Limitation of Liability
To the fullest extent permitted by law, Hello Bee will not be liable for indirect, incidental, special, consequential, punitive, or lost-profit damages.
We are not liable for Meta charges, WhatsApp charges, advertising spend, customer disputes, failed campaigns, blocked accounts, incorrect AI replies, third-party outages, lost data caused by third parties, or your misuse of the service.
Where liability cannot be excluded, our total liability will be limited to the amount you paid to Hello Bee for the service during the one month before the event giving rise to the claim.
20. Suspension and Termination
We may suspend or terminate access if you violate these terms, create risk for the platform, fail to pay, abuse third-party channels, violate Meta policies, misuse customer data, or use the service unlawfully.
You may stop using the service at any time. Some obligations, including payment obligations, confidentiality, acceptable use restrictions, data responsibilities, disclaimers, and liability limits, survive termination.
21. Changes to Terms
We may update these terms as the product, pricing, platform rules, legal requirements, or third-party services change.
If changes are material, we will make reasonable efforts to notify users through the dashboard, email, website, or signup flow.
Continued use after updated terms become available means you accept the updated terms.
22. Governing Law and Contact
Unless a separate written agreement says otherwise, these terms are governed by the laws of Pakistan.
Questions about these terms, billing, privacy, or platform charges should be sent to Hello Bee support or the contact method provided in your account or service agreement.
These terms are a product policy document and should be reviewed by your legal advisor before use in a regulated or high-risk business.
